We need to collect personal data to be able to handle various cases. Here we tell you how we handle your personal data according to the Data Protection Regulation (GDPR) and what we use them for.
Personal information is information that can be linked to a person who is alive, such as their name, social security number, nationality, education, employment relationships and contact information.
According to the Data Protection Regulation (GDPR), organisations may only collect and process personal data for a well-defined purpose. So it must be clear what the information is being used for. In addition, only relevant data should be processed and should not be retained longer than necessary.

Since Vinnova is a government body, we are obliged to follow the National Archives' archive rules, which are binding for all public bodies. This means that we can't normally correct or delete information that counts as official documents.

Processing personal data
We collect personal data in different ways depending on the area. To do so legally, we need to rely on one of the six legal bases of the Data Protection Regulation.

Funding projects
We process personal data about project managers, signatories and project participants to:
- administer and assess funding applications
- handle funded projects
- do different follow-ups
For us to also be able to follow the instructions in the regulatory letters we receive from the Government, we also transfer personal data about the project managers to the Swedish Research Council. They then collect these in a research database.
Personal data that we process
The personal data normally collected are:
- For applicant: Name and email address
- For project manager: Name, email address, telephone number, gender and year of birth
- Forsignatories: Name and email address
In cases where we request the CV of the project participant, we only ask for names, but we don't control which personal data the applicant submits. We advise against including unnecessary information on the CV, such as social security number.

Vinnova's legal basis for processing personal data about project manager, signatories and project participants is that they are necessary to fulfill tasks of general interest and the exercise of authority.
Vinnova's legal basis for the processing of personal data for evaluator is agreements.
How long personal data is stored
Personal data in public documents is stored in accordance with current archive rules.
E-mails and invitations
To send emails and send invitations to events, Vinnova processes personal data about subscribers and other relevant people in the innovation system.

In order to be able to inform about our activities, we photograph and broadcast certain events. Vinnova then processes personal data about speakers, panelists and other participants.

How long the personal data is stored
Data is deleted when it is no longer relevant.
General enquiries
To respond to enquiries from the general public, the media and other organisations, Vinnova processes personal data about the questioner.
Personal data being processed
The personal data collected are:
- Name
- Email address
- Possibly other contact information

Vinnova's legal basis for the proceedings is that it is necessary to fulfill tasks of general interest and the exercise of authority.
How long the personal data is stored
The personal data that appears in public documents is stored in accordance with current archive rules. Other information is stored for six months, after which it is deleted.
Social Media
To disseminate information about the business and reach new target groups, Vinnova processes personal data about employees and other relevant people in the innovation system.

The personal data collected are:

- Picture

The information is deleted when it is no longer relevant.
Publications
To disseminate information about research, development and innovation, Vinnova publishes its own and external reports on the website where personal information about authors is stated.

The personal information collected is:

How long the personal data is stored
The personal data that appears in public documents is stored in accordance with current archive rules.
Contractors, suppliers and evaluators
To administer contractual relationships and to fulfill contracts, Vinnova processes personal data about contractors, suppliers and evaluators.
Personal data being processed
The personal data collected are:
- For all: Name and contact information
- For personal use: Social security number and account number
- For evaluator: Name, gender, year of birth, contact details, information about experience and information for payment of compensation
Legal basis that we process the data on
Vinnova's legal basis for the treatments is an agreement.
How long the personal data is stored
The personal data that appears in public documents is stored in accordance with current archive rules. Other information will be deleted when the agreement ends.
Tenders
To administer tenders that have not won procurement, Vinnova processes personal data about tenderers.
Personal data being processed
The personal data collected are:
- Name
- Contact information
Legal basis that we process the data on
Vinnova's legal basis for the treatments is to fulfill a task of general interest.
How long the personal data is stored
The data is stored for four years, after which they are thinned.
Jobseekers
To recruit new employees, Vinnova processes personal data about job seekers.
Personal data being processed
The personal data collected are:

How long the personal data is stored
The data is stored for two years, after which they are thinned.
Visitors to the website
To follow up visitors to the website, Vinnova processes personal data about the website's visitors.
Personal data being processed
The personal data collected is:
- IP address

How long the personal data is stored
The data is stored for 26 months; then they are deleted.
